What this notice covers

This notice explains how information is handled when you use the project brief or communicate with ByteMotive about potential work.

Information collected

The project brief collects your name, business name, work email address and core project brief so ByteMotive can identify and respond to the enquiry. Telephone, current website and additional context are optional. The brief cannot be submitted without the required information.

The brief may include the project type, objectives, requested features, budget range and timing. Basic technical information needed to operate and secure the service is also processed, including request time, a security-verification result and limited request metadata. Do not include passwords, payment details, confidential material or sensitive personal information.

Why it is used

  • To understand and respond to the enquiry you asked ByteMotive to handle.
  • To take steps you request before potentially entering into a contract.
  • To operate a secure, accurate enquiry and project record.
  • To meet legal, accounting or dispute-handling obligations where they apply.

The main lawful bases are taking steps at your request before a contract and legitimate interests in responding to genuine business enquiries and protecting the service. Acknowledging this notice is not consent to marketing, and a project enquiry is never enrolled automatically in cold outreach.

Sophie and AI

Sophie is ByteMotive’s AI project assistant. She may help classify an enquiry and prepare a reply under fixed safeguards. Software rules enforce approval, sending, suppression and hand-off controls. Gordon remains responsible and handles anything requiring human judgement. ByteMotive does not use Sophie to make solely automated decisions with legal or similarly significant effects.

Where information is stored and shared

Enquiry and lead data is stored on Cloudflare infrastructure and is available only through ByteMotive’s protected Studio. Cloudflare provides hosting, database, security and AI infrastructure. Microsoft may process enquiry correspondence when the approved ByteMotive mailbox is enabled. These providers process information only to supply the relevant service. Information is not sold and is not used for marketing without a separate, clear choice.

Some providers may process information outside the UK. ByteMotive records the processing locations and requires an applicable UK transfer safeguard before enabling affected processing.

How long it is kept

The raw enquiry is retained for up to 180 days. If a business conversation continues, the associated lead and conversation record may be retained for up to 12 months of inactivity. If work begins, records needed for contracts, finance or legal obligations are retained under the relevant business schedule. A minimal keyed suppression record may be kept where necessary to prevent unwanted re-contact.

Browser storage and security

The project brief uses session storage to remember selections during the current browser session. It is used only to provide the brief and is removed after a successful submission or when the browser session ends. Cloudflare Turnstile is used solely to protect the form. ByteMotive does not use advertising, analytics or cross-site tracking technologies in this release.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction or transfer of your information, or object to processing based on legitimate interests. You may also complain to the UK Information Commissioner’s Office.
